About Showfile
One record per event — a pipeline for the vendor, a run of show for everyone else.
What it is
Showfile is a CRM built specifically for wedding DJs and event planners — and for the account managers running a whole roster of DJ companies. Every couple or client gets a single record that follows them from first inquiry through the actual day: a pipeline the vendor manages privately, and a code-gated timeline the couple can open with nothing but a link — no account, no password, no app to install.
Why it exists
Most vendors run their business across a group text, a shared drive, and whatever CRM was built for a different industry entirely. Showfile is built by someone in the wedding industry, for it — every feature exists because a real vendor needed it, not because a generic CRM template included it.
Three ways in
The foundation
Vendor
Any wedding or event pro, running their own business day to day — from a brand-new inquiry to a signed contract to the day itself.
- •A branded inquiry form — on the vendor's own site, feeding straight into their pipeline
- •A pipeline that mirrors real life — Inquiry → Quote → Booked → Planning → Performed
- •A pricing catalog — couples browse and build their own quote from
- •Contracts — write a template once, real details fill in automatically, couple signs on screen
- •A day-of timeline — built together with the couple, printable for the day itself
- •Their own branding — logo, accent color, cover photo — every couple-facing page reads as their business
DJs get a deeper toolkit on top of all this: a live, searchable Spotify catalog to attach a real track to any moment on the timeline instead of typing it from memory, plus one-click sync to Crate Builder — a DJ's set builds itself from the timeline they already made for the couple.
Everything a vendor gets, plus more
Planner
A planner's job isn't just their own piece of the day — it's coordinating everyone else's. This is the toolkit for that.
- •A visual project timeline — every task, who owns it, when it's due — drag to reschedule
- •Budget tracking — cost, paid, owed, built into the same view
- •A shared guest list — the planner and couple both keep it current, RSVPs included
- •A no-login portal for anyone assigned a task — the florist or officiant sees exactly what's on their plate, no account needed
For agencies
Manager
One login running the CRM for a whole roster of vendors, instead of one person running one business.
- •The same day-to-day tools — pipeline, quotes, contracts, services — scoped across the whole roster
- •Single-use invite codes — tied to vendor type, so a new vendor joins with no setup mismatch
- •Shared contract templates — written once, used across every vendor on the roster
- •Roll-up views — every contact, every signed contract, the whole services library, in one place
For the couple
Each couple gets their own private run-of-show timeline — reorder the day, attach real songs to real moments, add notes, invite their vendor to plan it together. Planner-run weddings also get a shared guest list. It's built to be shared with a link, not to require signing up for yet another account.
